Hosting Safe Meetings in Estonia – Health and Safety Protocols of Hotels and Venues

Are you looking for a safe option to host your next meeting in Tallinn, Tartu or Pärnu? July 15th, indoor events with up to 1500 participants can be held again in Estonia, of course in compliance with safety regulations. Organizers of events must also ensure that people are enabled to move while maintaining distance from others. The 50-percent capacity rule must still be followed at all times.

We have asked from our ECB member hotels and venues about their new health-safety protocols, main practices and precaution measures implemented. Please see below how hotels and venues are ready to host meetings and events again.

HOTELS

Hilton Tallinn Park

The sparkling hotel is located in the Tallinn city centre, just steps away from the peaceful park. Hotel has 202 spacious guest rooms including 27 suites.  All guest rooms have panoramic views from the floor to ceiling windows. Hilton Tallinn Park boasts cutting-edge conference facilities – with 10 meeting rooms, including an elegant Grand Ballroom.

Hilton has announced Hilton CleanStay – a new program to deliver an industry-defining standard of cleanliness and disinfection at Hilton properties across the world. When taking into account the safety conditions, The Ballroom accommodates up to 100 guests.

 

Hestia Hotel Europa

Hestia Hotel Europa is a 4-star hotel, situated in direct proximity of Tallinn passenger harbour, remaining only at the distance of 700 m from Tallinn Old Town. Hestia Hotel Europa has 185 rooms and their Conference Centre offers 8 multi-functional meeting rooms of different size, each tailored to your specific needs.

Hestia Hotel Europa’s conference center continues to be a safe meeting place for all guests, hotel strictly follows the rules established by the Health Board, offers disinfection possibilities, cleans the surfaces before and prior to each event and airs the halls. Also, in catering and accommodation the health of our guests is their top priority.

 

Metropol Spa Hotel

Metropol Spa Hotel, a business class spa and conference hotel, is located in the unique Rotermanni Quarter, just a short walk from the historical Old Town. In the spacious conference rooms of the Metropol Spa Hotel in the heart of Tallinn, continues to offer their guests a quality services! Hotel pays special attention to the well-being and safety of the customers, while ensuring even higher hygiene standards.

In the conference center with a great location, a spacious layout for up to 50 participants is offered (previously up to 110). In order to maintain a sufficient distance, the seating in the conference rooms are following: Room 70m2 (U-table 12; Classroom  16; Theatre style 2), Room 135 m2 (U-table 20, Classroom 28, Theatre 40), Room 200 m2 (Theatre 50).

For smaller business meetings and business gatherings, hotel can offer cozy conference suites with a view of the Old Town from the balcony. Coffee breaks and lunches are served in personal portions and covered, continuing to offer a taste and eye-pleasing experience.

 

Nordic Hotel Forum

Nordic Hotel Forum is a modern four-star superior business and conference hotel in the very heart of Tallinn, at the prominent location on the edge of the picturesque Tallinn Old Town.

Conference centre has 7 meeting rooms. A safe and convenient solutions for coffee breaks is offered as well as for lunch and dinner. Spacious and elegantly furnished hotel rooms are ready for guests staying overnight. Health and safety of their guests is hotel’s top priority and the rules are followed carefully established by the Government of Estonia.

 

Park Inn by Radisson Meriton Conference & Spa Hotel Tallinn

Park Inn by Radisson Meriton Conference & Spa hotel follows Radisson Safety Protocol, a global commitment to cleanliness and hygiene in partnership with SGS. 10-step protocol for meeting and event spaces is currently being introduced to the hotels. New cleaning and disinfection procedures, increased attention to safety in communal spaces, protective equipment, and updated training for team members are included in the new protocols.

 

Radisson Blu Hotel Olümpia

A stylish and modern hotel in the centre of Tallinn Radisson Blu Hotel Olümpia is a landmark on the skyline of the Estonian capital. The hotel is conveniently located in the heart of the business district, only 10-minute walk from the medieval Old Town. Radisson Blu Hotel Olümpia has 390 guestrooms. Hotel´s Conference and Event Centre was renovated in 2017 and it has 14 multifunctional meeting rooms.

Safety & Health related concerns are main priority to a hotel’s customer base. Radisson Blu Hotel Olümpia has taken prevention measures already from mid-March to protect all who stay and work with the hotel. Stations with hand sanitizers were placed all over the hotel, personal protection equipment was provided for employees, cleaning and disinfection frequency was increased in all hotel areas etc. Hotel is also implementing an extension to brand commitment which includes 10-Step protocol for Meetings & Events. At the same time, hotel continues to follow the latest advice and recommendations from the local authorities and adjust our service models accordingly to guarantee customers wellbeing when hosting an event. In addition to that, Radisson Hotel Group has announced the Radisson Hotels Safety Protocol, a Global Commitment to Cleanliness and Hygiene in Partnership with SGS.

 

Radisson Blu Sky Hotel Tallinn

Radisson Blu Sky Hotel as a part of the Radisson Hotel Group has always had a high service level as well as high standards, including safety and cleaning procedures, but due to COVID-19 all the processes have been re-evaluated and improved, where necessary. Radisson Hotels has created a partnership with SGS and developed a new 20 step protocol for the hotels and a 10-step protocol for meetings & events. Here are just some examples of the dedicated meetings & events protocol, that the Radisson Blu Sky Hotel is strictly following:

  • Installing stations with alcohol-based hand sanitizer and gloves in hotel public areas and meeting and event spaces.
  • Increasing cleaning and disinfection frequency of all hotel areas, paying special attention to high-touch items.
  • Ensuring physical distancing in meeting and event facilities.
  • Serve all food and beverages respecting strict food safety procedures.
  • Frequently clean and disinfect coffee machines.

A new capacity number has been calculated for all 10 meeting rooms at the Radisson Blu Sky Hotel.  New solutions for video conferences and high-quality live streams have been developed in cooperation with good partners to offer different possibilities in the modern conference scene. Swissôtel Tallinn has always set high standards of hygiene and cleanliness. Due to the Covid-19 pandemic and to ensure guest safety, hotel elevated the usual norms even further. All meeting setups will be as per governmental rules (or stricter if requested). Tallink Hotels

The modern, glass-fronted Tallink Spa & Conference Hotel is just  located just 5 minutes from the Tallinn Old Town and the Tallinn Passenger Port.  It has 300 specially designed rooms. All the standard rooms are designed in a comfortable and personal style, characteristic of a 4-star hotel.  Their second hotel, 4-star Tallink City Hotel is located in the heart of Tallinn, in the popular shopping and business district of the city centre and just a few minutes’ walk from the historic Old Town and they have 332 cosy rooms.

The centers have been adapted so that the restrictions on the number of people established by the Government of the Republic are followed during the events. It is possible to keep a distance in the conference rooms and the seats are arranged following distancing rules. Coffee breaks and lunches are organized as contactlessly as possible. The rooms will be ventilated before and after the event. Requests of each event organizer are analyzed in order to find the best possible solution, but still comply with safety rules. Estonia Resort Hotel & Spa

ESTONIA Resort Hotel & Spa 4-star CONFERENCE CENTER is the newest venue for meetings and events between Tallinn and Riga in the Baltic region. Fotografiska Tallinn

Fotografiska is a Stockholm-based, internationally renowned photographic art center. It’s a meeting place where art, good food, music, design, and open way of thinking get together. The event hall on the ground floor in Fotografiska Tallinn is open and bright. The space’s interior and layout allow to create diverse experiences and comes with a list high level sound and light systems as well as conference equipment. Suitable for seminars and meetings, private dinner parties, spirited stand up receptions, concerts, theatre or movie nights.

Fotografiska Tallinn follows 2+2 & 50% capacity rule. The  main event hall can accommodate 70 people in theatre style and up to 150 people for the reception. Restaurant & Rooftop Garden can fit 50 people indoors and up to 40 people on the terrace.

 

Noblessner Foundry

One of Noblessner’s largest and most prominent industrial buildings is the foundry – the historical shipbuilding workshop and non-ferrous metal foundry of the Noblessner shipyard. The building was renovated in 2019 and today, it has become an event centre with spacious rooms with modern technical facilities. The building has a 650 m2 Nobel Event Hall, a 200 m2 Lessner Conference Hall, and a spacious lobby. The rooms are well suited for conferences, galas, and corporate parties. The same building also houses the educational family centre PROTO Invention Factory, which is also suitable for holding various events.

Until the end of July, contactless virtual studio has been opened for hosting virtual events at professional level – with Estonia’s largest screen and massive main studio, one can even bring in an igloo sauna or an elephant for a virtual product launch. Onlive PROTO studio team consists of professionals in their field who have been organizing events for a very long time, and in cooperation they are ready to invent and implement exciting new solutions.

Foundry acts on the bases of the decisions of the government and on how confident the organizer and the participants of the event feel. In any case, we follow all the rules and recommendations that have been established today, and ask the organizers to do the same.

 

Seaplane Harbour

The Seaplane Harbour is home to Tallinn’s unique seaplane hangars, as well as the historic Lembit submarine, numerous boats, yachts and naval artillery. In 2012, the facility opened as the most exciting maritime museum in Northern Europe. The indoor venue is suitable for conference gala dinners, pre- and post-conference receptions and other special events. Seaplane Harbour strictly follows the rules established by the Health Board.

 

Tallinn Creative Hub

Tallinn’s most unusual facility for hosting large events, the Tallinn Creative Hub, is a historic power plant building that has been fully revamped and preserved – bricks, boilers and all. It was opened as an event venue in November 2015.

Tallinn Creative Hub has teamed up with partners to create totally exceptional contactless conference format. The format of online hybrid event with human touch and the newest technology includes interactive live streaming with large audience, branded stage, professional moderator, personal interaction with 3 streams of guests (spectators, VIP Guests, On Stage Speakers), presentations and video graphics available to everybody. Best global online tools integrated to the event experience.

The innovative solution has been already used for the largest online conference ever held in Estonia broadcasted to the audience of 8000 participants, and later viewed by 35  000.

 

ACADEMIC VENUES

Tallinn University Conference Centre

The Tallinn University Conference Centre is located in the centre of Tallinn, near Kadriorg Park and the harbour. The centre offers several options for holding conferences, seminars, workshops and other events in a modern, academic environment.

The largest meeting room Maximum, is now seating a maximum number of 100 guests with the new 2+2 rule to ensure a safe environment for all the conference delegates.

Also, from their Television Studio it is possible to produce virtual seminars, online training videos, workshops, presentations and hybrid conferences. Interactive events can be broadcasted live also from other Tallinn University campus rooms, as separate sessions if needed.

 

TalTech Conference Centre, TalTech Innovation and Business Centre Mektory

TalTech is the only campus-type university in the Baltic countries and one of the most compact university campuses in Europe. Their academic atmosphere is good for holding scientific conferences and other events

TalTech Mektory building is open and we invite everyone to organize seminars and conferences. They follow the 2 + 2 requirement and the 50% occupancy limit and have many different rooms that can accommodate 5 to 50 people in accordance with the new requirements. The Mektory conference hall has become a Mektory studio, where you can organize virtual conferences!
